Scheduling/Payroll FAQs

How do I clock in and out?
  • You clock in and out using your time tracking application on your phone. 
  • If for whatever reason you are having technical difficulties please notify your Scheduling Manager with your times and they will work with you to troubleshoot your app issues. 
  • You may also be required to clock in and out using the client facility time tracking system. Please ask your Scheduling Manager for details.

I did not receive a lunch break, what do I do?
  • Please submit a written note indicating your name, date. shift, client facility,  explanation, and signed by the RN supervisor of the client facility. You can text a picture of this document to your Scheduling Manager or email it to payroll@willowstaff.org 
  • You may also attach it in your time-tracking application in the notes section. 
  • Please note that failure to submit documentation of a missed lunch break may lead to incorrect pay.  It is the responsibility of the staff member.
  • It is important to remember to take breaks.  You must coordinate your lunch breaks with your colleagues at the facility to determine what time is best.

Am I considered a Willow Employee or an Independent Contractor?

You are an employee of Willow Staffing Agency therefore you will receive a W2 at the end of the year.

How do I get paid?

When does the pay period start?

Starts Sunday 12am ends Saturday 11:59pm

Where can I view my pay stubs?
  • Login into your Paychex Flex account and you can view your paystub online. 
  • If for any reason, you are unable to access your pay stub online please email payroll@willowstaff.org requesting a copy of your pay stub. Indicate the pay-period in the subject line, and your designation.

My pay is wrong, what do I do?
  • Please contact your Scheduling Manager immediately and notify them of any discrepancies
  • Our payroll department and scheduling manager will conduct an internal review which may take up to 3 business days. 
  • Any modifications to pay will be reflected on the subsequent pay period.

To avoid any inaccuracies, please ensure you are reviewing your timesheet entries after every shift.  All timesheet entries for the work week (Sun-Sat) must be submitted to the Scheduling Manager by the following Monday no later than 12 pm EST.

What do I do if I reach a client facility for a confirmed shift and they send me home?
  • Please contact your Scheduling Manager IMMEDIATELY do not leave the client premises’.
  • Your manager will verify your scheduled shift and contact the Supervisor at the Client Facility to clarify the discrepancy.
  • You may be entitled to inconvenience pay, please contact your Scheduling Manager for details.

The Center of Medicare and Medicaid Services (CMS) orders for COVID-19 Vaccine Mandates are being implemented for all healthcare workers throughout the nation and vary by state, speciality and client facility. We are diligently working to provide you with the most up-to-date and accurate information. Please contact your Willow Manager if you require any guidance regarding COVID-19.

Do I have to be vaccinated to work at Willow Staffing Agency?

No, Willow Staffing Agency does not require the COVID-19 vaccine. However, an increasing number of facilities and states nationwide are requiring proof of vaccination or a valid exemption for all healthcare workers who work in their facility. If you are looking to or plan to work at one of the facilities that has made this a requirement, you will need to be fully vaccinated before you start.  We strongly encourage you to engage in an open discussion with your physician regarding your COVID-19 vaccination status.

What is considered proof of vaccination for COVID-19?

Submit a photograph, a copy of your vaccination card or immunization records to your Human Resources Manager and they will update your file.

At what point am I considered “fully vaccinated”?

You are considered fully vaccinated against COVID-19 14 days following your final dose.

What constitutes a valid exemption from the COVID-19 Vaccine?
  • A sign and attested physician’s statement indicating that the individual is  exempt from the COVID-19 vaccine due to medical reasons.  
  • A religious exemption:  An individual need not be immunized if he or she objects in writing to the immunization on religious grounds or on the basis of a strong moral or ethical conviction similar to a religious belief.

* Please note that while you may provide a valid exemption for the COVID-19 vaccine, if it is not approved by client facilities you will not be permitted to work at those locations.*

Do I have to be COVID-19 tested prior to start or during a work assignment at the client facility?
  • This varies by facility, presence of symptoms, and vaccination status. Contact your Scheduling Manager regarding specifics. 
  • Testing modalities range from rapid antigen to PCR testing.
